Enhancements of Library Facility Booking System - iBooking

New iBooking System

The Library will launch the new iBooking System and implement the related booking policy on 17 July 2023 to give users a better experience when reserving Library facilities. The new iBooking System provides a mobile responsive interface with new or enhanced features as follows:

  • All-in-one Booking
    You can view and reserve booking sessions for various library facilities in one place, including computers, Group Rooms, Group Viewing Rooms, Online Meeting Rooms, Studios and Makerspace facilities (e.g. 3D printing and laser cutting devices). 
     
  • Flexible Booking Session
    30-minute session is provided for Online Meeting Rooms, Group Rooms and Studios. Eligible users can reserve these facilities up to 4 sessions per day and have greater flexibility to choose the start and end times.
     
  • Advance Booking and Weekly Quota
    Eligible users can book Online Meeting Rooms and Studios for online meetings/interviews or video production up to 7 days in advance.  To ensure the fair use of these facilities, the Library will introduce weekly booking quota as follows:
    • Undergraduate students & General Grade staff: A maximum of 12 sessions per week*.
    • Postgraduate students & academic/research/administrative staff of equivalent status: A maximum of 16 sessions per week*.
      *from Monday to Sunday 
       
  • iCalendar Support
    An iCalendar reminder will be available in your booking confirmation email.

Due to the system upgrade, the iBooking service will be temporarily unavailable from 9pm on 16 July (Sun) to 8:30am on 17 July 2023 (Mon). Your booking(s) in the current system will be migrated to the new system accordingly.

New Self-pickup Station for HKALL Books Now Available at the Library!

A new Self-pickup Station has been installed in the Audio Visual & Reserve Collections area on the P/F of the Library! Beginning 31 May 2023, users can collect their requested HKALL books anytime during the library's opening hours, without waiting in line at the service counter.

How to collect a book from the Self-pickup Station? 

When a requested HKALL book is ready for pick up, you will receive an email notification from the Library directing you to the Self-pickup Station. Simply tap your PolyU Student or Staff Card and follow the steps on the screen of the Self-pickup Station to collect the book on or before the specified date indicated in the Pick-up Notice.

Once the locker slot is opened, the requested book inside will be automatically checked out to your Library account. The due date will be shown on the screen. You can check the due date and renew the loan conveniently by logging in to myRecord via the Library homepage.

 

Please return the HKALL books to the service counter on P/F of the Library by the due date.

Noise Due to University Square Development Project

As announced by the Campus Development Office (CDO), construction works under the University Square Development Project will be in full swing from 9 May - September 2023.  At times, there will be noise from the construction site in front of the Library, causing inconvenience to Library users. 

Studying in the Library

Please consider using study areas on the Upper Floors which are likely to be less affected by the noise.  

Complimentary ear plugs provided by the Library can be requested at Library’s service counters.

Limited Access Arrangement for Student JULAC Card Holders (10 Apr - 6 May 2023)

In view of the very high demand for study space, the Library will implement the Limited Access Arrangement for JULAC Borrower/Reader Card Holders (students only) during the Revision and Examination Period from 10 Apr - 6 May 2023. Access to the Library by students of other UGC institutions will be limited to non-peak hours (6:01pm - 11:00pm) of the day only.

Brand New Self-service Studios Now Open

As part of the Library Extension and Revitalisation Project (LER), five new self-service Studios have been set up at 3/F North Wing of the Library for video/sound recording and multimedia production to support learning and teaching.
 

One Button Studios The two One Button Studios are self-service and easy-to-use video recording facilities dedicated for practising presentations, small-scale interviews, rehearsal for speech, thesis and dissertation defenses, etc. Each studio is equipped with Chroma key green screen, professional camera, studio lighting and paper backdrops in assorted colours, providing an all-purpose setting for video recording that can be used without any previous video production experience.  Just bring a USB thumb drive or hard disk and follow simple instructions provided in the room to start video recording on your own.

Sound Recording Studios The two Sound Recording Studios offer cardioid or multi-pattern microphone for you to record narrations for your presentation/project with entry-grade audio & video production software such as Audacity and GarageBand. You may review the audio recording through the studio monitor headphone and speaker. With the new integrated midi controller, digital piano, and virtual sound mixer, you can create song or background music for your video efficiently.

Multimedia Production Studio Providing various equipment and tools for the creation of multimedia content, the Multimedia Production Studio enables you to edit 360 virtual tour and create animation with motion capture easily with the Virtual Character & Live Animation System software.  Apart from taking still life photos with the studio light box, you can choose paper backdrops in different colours for photography.

New Collaborative Study Space at G/F North Wing

The Library's G/F North Wing for collaborative study has reopened. 15 new group rooms for collaborative work can be reserved in advance by all students and staff through the iBooking System

The Journal Collection A-L housed in the electronic compact shelves is accessible now while the Journal Collection M-Z and Book Collection T-Z in electronic compact shelves can be accessed effective 18 November 2022.

Reopening of 3/F North Wing

Reopening of 3/F North Wing on 19 October 2022

The open study space of 3/F North Wing has reopened. Ten new Online Meeting Rooms that can be used for online interviews and virtual meetings by a maximum of two persons will also be made available for booking by PolyU students and staff via the iBooking System. When all refurbishment works at 3/F North Wing are finished, there will be five more Studios to support online learning and teaching. Please stay tuned for our updates on the LER Project.

Reopening of 3/F South Wing

The Library will reopen the 3/F South Wing on 28 September 2022 in an effort to alleviate student demand for study space. Most renovation works in that area are complete but some minor works may be carried out to further enhance the study space there.  3/F South Wing will provide over 300 quiet study space. A number of public workstations and multi-function copiers will also be made available for Library users.   
 
As informed by the Campus Development Office, the renovation works at 3/F North Wing and G/F North Wing of the Library are expected to finish in mid-October 2022. More updates on the renovation can be found on the LER Project website.  
 
We greatly appreciate your patience and understanding as we renovate the Library areas in order to better serve the PolyU community. 

Unavailability of Book Collection T-Z and Bound Journals at G/F North Wing

The G/F North Wing of the Library is now under renovation and the construction works are scheduled to complete by the end of August 2022. As informed by Campus Development Office, there will be no power supply to the affected area during the renovation period. As a result, users will have no access to Book Collection T-Z and the bound journals housed in the electronic compact shelves located at G/F North Wing until the renovation finishes.  

As an interim measure, the Library has adjusted the configuration of the Library System so that eligible users can request and get the affected books from other UGC-funded university libraries via HKALL service (if available), and make Interlibrary Loan requests for articles of the affected print journals if necessary.

Library's New 6/F Opened on 4 July 2022

We are excited to announce that the new 6/F of the Library is now open to our users! It marks the completion of a major phase of the Library Extension and Revitalisation (LER) Project that began in July 2020.

To foster a learning community for academic excellence, the new top floor of the Library building is equipped with contemporary infrastructure and modern facilities to give both students and staff a desirable environment for their study and research. Armed with fantastic views of the HK skyline and the surrounding areas, the collaborative learning space (South Wing) and the individual quiet study space (North Wing) will add around 750 seats when the space is in full swing.
